The client is an international IT group specializing in artificial intelligence solutions. As part of Grant Thornton’s Outsourcing Department, we provide accounting services to three companies within the group. This ensures that their accounting processes in Poland remain consistent, compliant, and aligned with local regulations. This support is particularly important because, due to the international nature of its operations, the client does not have in-depth knowledge of Polish tax regulations and accounting standards.

VAT register not aligned with JPK requirements

As a foreign company, the client did not have its own tool for generating JPK files and therefore engaged us to provide Tax Compliance services. During the preparation of JPK and VAT-UE filings in the Softlab system, we discovered that the client’s VAT register generation system was faulty and contained numerous errors.

In addition, some transactions had been incorrectly recorded because invoices had been categorized internally without sufficient knowledge of Polish accounting and tax requirements. As a result, it was not possible to prepare the tax reporting files correctly, exposing the client to a potential risk of non-compliance and financial penalties.

Proposed and implemented solutions in IT company

To ensure accurate tax reporting, we conducted a comprehensive review of all invoices. Each document was re-entered and recorded correctly in the Softlab system in accordance with applicable regulations.

We are also currently working with the client to streamline document management and submission processes, improving efficiency and preventing similar issues from recurring in the future.
